As our operations grow, we’re looking for a detail-oriented and reliable Accounts Payable Clerk to support our accounting and operations team.
Position Overview:
The Accounts Payable Clerk is responsible for entering bills, maintaining accurate records, assisting with vendor communication, and supporting internal billing processes. This role directly impacts financial accuracy and vendor relationships and requires strong attention to detail, communication skills, and file organization.
Key Responsibilities:
Enter vendor bills and expenses into QuickBooks Online. Verify auto-entries.
Verify purchase orders (POs) against vendor invoices for accuracy
Deliver copies of billable expenses to Accounts Receivable for customer invoicing
Use a pre-built spreadsheet to record man hours weekly
Review bank, credit card, and vendor statements to ensure they match QuickBooks
Print and deliver a weekly Accounts Payable Report to management for review and payment decisions
Communicate with vendors via email and phone to request documentation or resolve discrepancies
Maintain accurate digital (Google Drive) and physical filing systems for AP and time records
Assist with new vendor setup, including collecting W-9s and verifying insurance/certifications
Monitor recurring bills or auto-debits to ensure proper coding and timely entry into QuickBooks
Maintain a clean, organized, and professional work environment
Other duties as assigned
Qualifications:
Experience with Accounts Payable and/or QuickBooks Online preferred
Strong attention to detail and accuracy
Comfortable using spreadsheets (Google Sheets or Excel)
Good communication skills (written and verbal)
Highly organized with strong time management skills
Willing to learn and follow internal processes and procedures
Training & Support:
We are happy to provide training in QuickBooks Online and AP procedures for the right candidate. Experience is preferred, but we’re willing to train a motivated individual with strong organizational skills and a desire to learn.
