When a computer, the email or the Wi-Fi stops working, the first question at the office is who to call.

That is the third of the four rules Micro-IT runs on: one number to call. One phone number for everything IT, with no tier-one, tier-two escalation queue. During business hours a person picks up, and managed clients hear back within one business hour.

Most days there is nothing to call about, because most problems are handled by monitoring and automation before anyone at the office sees them. For the other days, there is one number.

270.816.5726, a western Kentucky number, and a person answers.

Your IT is probably fine, and you are not shopping for a new company. A second look is still worth 20 minutes.

Fine should mean protection, not cleanup: most problems handled before anyone at the office notices, updates without asking, and a heads-up ahead of trouble.

The intro call is with our CEO, not a salesperson. If a change makes sense, we map everything before we touch anything and handle the handoff with your current provider. Managed Endpoint is $79 per computer a month, published.

Whether an owner signs it or a board or council approves it, the paragraph to read first in a technology contract is the one about leaving.

Two questions settle it. Can you get a complete export of your own data, in a format you can use, without paying extra to get it back? And how much notice does the contract need before a renewal locks you in for another term? If either answer is unclear, the vendor has made switching their decision instead of yours.

Ask for both answers in writing before anyone signs. It is a fair question for any provider, and a good one will answer it plainly.

It is hard to see what an IT plan does until something goes wrong. So here is one morning, played twice.

A work password reused on another website turns up on a list. Without a plan, nothing looks broken, so nothing stops it. With our plan, the sign-in stops at MFA, the second check a password alone cannot pass, and a person calls you. Swipe for both runs.

You pay for protection, not cleanup. Next is a 20-minute intro call, then we map everything before we touch anything. Plans start at $79 per computer a month. The intro call link is on our profile.

The cyber-insurance form asks whether every computer has EDR. Here is what those three letters mean, in plain English.

Antivirus keeps a list of known bad files and blocks anything that matches, so it only recognizes what is already on the list. EDR, short for endpoint detection and response, watches how each computer behaves and flags anything out of the ordinary, even when nothing on the list matches. It also lets a person isolate one computer while everyone else keeps working.

The useful question is not whether you have it. It is who watches it for your office.

If you are the one who signs the software renewals, pull the seat-count report before you sign the next one.

Open the admin console and compare the active accounts to your current staff list. Look for three things: people who have left, duplicate accounts, and free trials that quietly turned into paid subscriptions. A renewal usually carries last year's count forward, and the vendor has no reason to point out the difference.

Do it once a year, the week before the renewal date rather than the week after, while the count can still change.

When everything at the office stops at once, there is only one question: how soon can people get back to work?

City offices, unions and pharmacies have called us with that question during a major outage, some of them before they were clients. The work is plain. Restore from backup. Trace the cause and close it.

Contained the same day, and back to work fast.

On a Managed plan, most problems are handled by monitoring and automation before anyone at the office sees them. And when the office does stop, one call starts the work: 270.816.5726, a person answers.

When the person who set up your IT is out sick or moves on, the answers should not leave with them.

That is the second of the four rules Micro-IT runs on: documented, then done. Every change is written down before it is made. For a new client it starts even earlier: we map everything before we touch anything.

It takes a little longer on the day. In return, nothing important lives in one person's head, and when an auditor or an insurer asks how something is set up, the answer is already on file.

The other three rules: partners, not vendors; one number to call; boring is the goal.

Tired of IT that only shows up after something breaks?

On a Managed plan you pay for protection, not cleanup. Most problems are handled by monitoring and automation before anyone at the office sees them. Updates go on without anyone asking, you hear about trouble ahead of time, and ideas come to you.

Next is simple: you build an estimate on our pricing page, we talk for 20 minutes, and we map everything before we touch anything. Managed Endpoint is $79 per computer a month, published.

The cyber-insurance renewal questionnaire is on your desk, and every question on it is really asking for proof, not a yes.

It usually comes down to five: multi-factor sign-in on every account, backups that have actually been restored, endpoint protection reporting in from every computer, staff training with names and dates, and a written plan for a bad day. Each answer is a document someone can hand over.

On a Managed plan that evidence is produced during the year, so the renewal takes an afternoon instead of a scramble. Swipe through the five.
