One of the most common challenges communities face during disaster recovery is documentation. FEMA reimbursement depends on accurate, complete records that clearly support eligible work and costs.

Remember: If it isn't documented, it didn't happen. And if it isn't documented well, it may not be funded.

Key records that should be tracked and maintained include:
✔ Labor records
✔ Equipment usage logs
✔ Procurement documentation
✔ Contracts and invoices
✔ Photographs and GIS mapping
✔ Insurance information
✔ Mutual aid agreements
✔ Force account equipment records

Our team helps communities establish documentation processes, organize records, and navigate FEMA requirements from response through reimbursement.

Strong documentation today can help maximize eligible funding and reduce challenges during project closeout tomorrow.

This year marks Neel-Schaffer’s 22nd year supporting the SAME Army Engineering and Construction Camp in Vicksburg, MS, where students from across the country spend a week experiencing hands-on engineering, construction, and design activities on a military base. The camp challenges students with real-world STEM experiences, builds leadership skills, and introduces future career paths through interactive projects and friendly competition.

On Tuesday, our Jackson office hosted campers for a day of one-on-one engagement with our engineering professionals. The team led activities in transportation, traffic, H&H, and structural engineering, with campers earning points for both accuracy and teamwork.

Neel-Schaffer has proudly supported this camp since its inception, helping introduce students to careers in engineering and STEM. This year included several meaningful connections across our team. Xan Cutcliff, Structures Engineering Manager, and Amber Cutcliff, H&H Senior Project Engineer, both had family involved in the program, one as a camper and one as an intern gaining hands-on industry experience. A special full-circle moment came when newly hired Graduate Engineer Olivia Ezell, once a camper herself, joined the activities, highlighting the program's lasting impact on future engineers.

We're proud to continue supporting SAME's mission to inspire and develop the next generation of engineers through programs that spark curiosity and strengthen our profession.

A few strikes, several spares, and a lot of great conversations!

Our Jackson Interns recently spent the morning bowling, networking, and getting to know local Neel-Schaffer leaders from a variety of disciplines. From transportation and water resources to aviation, environmental, and business development, interns had the opportunity to learn more about the many career paths available within our industry.

We're always excited to create opportunities for interns to connect with experienced professionals, ask questions, and gain insight into what makes our work so rewarding.

Winter Storm Fern prompted emergency declarations across multiple states beginning January 23, 2026, activating disaster response and recovery efforts for impacted communities.

While local governments continue cleanup efforts, many are also managing the complex process of documenting costs and seeking reimbursement through FEMA programs. True North Emergency Management partners with states, counties, municipalities, utility districts, and public agencies to help maximize available recovery funding and streamline the FEMA Public Assistance process. From damage documentation to reimbursement support, our team works alongside communities every step of the way.

Long after debris is cleared, the recovery process continues. We're here to help you keep moving forward.

Hurricane season begins tomorrow.

Preparedness is not a single task. It is the coordination of planning, communication, logistics, finance, training, and recovery operations working together before a storm arrives.

Final Checklist:
Damage Assessment Preparation
✔ Train teams on initial damage assessments (IDA)
✔ Prepare GIS and damage reporting tools
✔ Coordinate preliminary damage assessment procedures with state partners
✔ Review disaster declaration request procedures

Recovery Coordination
✔ Prepare Disaster Recovery Center (DRC) support plans
✔ Review housing and community recovery strategies
✔ Identify recovery staffing surge needs
✔ Coordinate with state recovery agencies

Our teams know preparation before the storm helps communities recover faster after it. Is your agency ready for hurricane season?
