Job Description:
LT Leon Associates is currently seeking to hire a full time Office Manager to support our team of engineers, landscape architects, and technical specialists. Our firm’s work includes rivers/streams, wetlands, dam mitigation, water trails, abandoned mine reclamation, conservation, transportation (roads, trails, transit, aviation, and rail), municipal, and facilities. The successful candidate will contribute to the continued growth and success of the business.
The Office Manager is responsible for a broad range of Finance, HR, and general administrative duties, maintaining company records and certifications, and providing office and executive support. The ideal candidate is a self-starter, with strong communication and critical thinking skills.
Responsibilities include, but are not limited to:
•Bookkeeping using Quickbooks Online, including accounts receivable, accounts payable, filing, and invoicing.
•Manage annual renewals such as insurance, licensing, and certifications.
•Submit biweekly payroll and manage payroll updates.
•Monitor budget including tracking expenditures and providing reports.
•Establish, maintain, and update files, databases, records, and other documents.
•Provide executive support with communications, scheduling, and preparation for meetings.
•Answer and screen incoming calls and initiate contact or calls as requested.
•Manage employee time reporting and monitor employee’s PTO.
•Human resources assistance including job postings, interview scheduling, and new employee paperwork.
•Handle confidential company information and maintain confidentiality with discretion.
•Become familiar with firm functions in order to communicate them effectively and accurately.
•Assist with preparation of proposals, presentations, and reports, including writing copy, proofreading, updating, and formatting.
•Update website and social media content.
•Coordinate IT support, office equipment maintenance, and other similar support.
•Manage vehicle/equipment maintenance.
•Plan, schedule, and organize meetings and travel arrangements.
•Monitor and purchase office supplies.
•Process incoming/outgoing mail.
•Other duties as assigned.
Job Requirements:
•Associates Degree with 2-3 years of relevant professional experience preferred.
•Experience with Quickbooks Online strongly preferred.
•Self-starter, with strong communication and critical thinking skills.
•Strong customer service orientation.
•Organization and attention to detail.
•Ability to manage multiple tasks and priorities, keeping recurring and long-term projects on track while handling urgent interruptions.
