JOB DESCRIPTION:
This job requires various tasks and will look different day to day. We are a growing company and looking for an eager young professional to join our team to help assist where needed with potential to learn and grow into a redefined role in the future. This role is expected to have a “can-do” attitude and a willingness to put in extra effort for the benefit of the entire project team.
Full time Position: 7:00 - 4:00 Monday through Friday Vacation/Holiday and sick pay

Requirements:
Education & Experience:
➔ An associates degree or higher
➔ Proven experience in a similar position is preferred

Preferred skills and qualifications:
➔ Experience with Quickbooks
➔ Experience with design software (Revit, AutoCAD, AdobeSuite, Design2020)
➔ Experience with design and/or construction field
Day to day responsibilities may include:
General office tasks:
➔ Scheduling meetings and managing supervisors calendar. Learning which type of
meetings require prep and scheduling “meeting prep time” as well as the meeting
➔ Answering the phone/responding to emails/gaining information on new project leads and
presenting information to supervisors weekly. This includes plans sent to email requesting an estimate, or potential clients calling. Follow up with the person in charge of the estimate (your supervisor will be responsible for estimates initially, but as you learn the process you may be responsible to complete these estimates) to make sure estimates are completed and returned to the client/contractor.
➔ Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests in a professional and timely manner
➔ Responsible for preparing contracts and sending to client once reviewed with team
➔ Making sure all files are saved and filed according to the proper naming convention
➔ Keep running list of needed office supplies,stock supply stations, and ensure equipment is operable
➔ Various office tasks - making coffee, cleaning as needed, filing paperwork, running misc
errands for supervisors, etc. Leave the office a little better everyday. No one is above anything here and it requires a lot of team work to keep things running smoothly and efficiently.
Invoicing and ordering:
➔ Placing orders for various products
➔ Helping with estimates and invoicing
➔ Responsible for managing incoming invoices/bills from vendors to be billed to clients.All
billing is entered on Tuesdays, invoices come in throughout the week and it is essential to make sure they are printed so that they can be billed.
Inventory & order management:
➔ Keeping record of when the deliveries are coming in and making sure manager(s) are
aware. Expected deliveries should be listed/emailed every friday to make sure
equipment and manpower is available to unload
➔ Verifying orders are complete when delivered and if not,addressing with vendor
➔ Manage inventory of “stock items”
➔ Helping to unload deliveries/deliver items if needed
➔ Notifying contractor/client of when orders are delivered & ready for pickup
Design Assistance:
➔ Assisting with meetings and meeting prep; i.e. taking notes & creating meeting minutes,
helping to pull samples/finishes, filing all selections/notes promptly and efficiently.
➔ Organizing inspiration/images from clients to pull selections from before meetings
➔ When needed, coordinate and/or attend client, contractor, sub-contractor, and other
representative meetings as well as occasionally attend on site meetings
➔ Helping with marketing, branding and social media when needed
➔ Preparing presentation templates
