The Staff Accountant is responsible for working closely with the owner supporting the company’s financial operations, payroll processing, accounts receivable and payable, and administrative compliance functions. This role ensures accurate recordkeeping, timely reporting, and adherence to federal, state, and internal financial procedures. The position also assists management with reporting, HR-related administrative tasks, and regulatory filings.
Key Responsibilities
Accounting & Financial Operations
Create and process sales orders and packing slips.
Prepare and email customer invoices.
Manage Accounts Receivable and Accounts Payable.
Create and process bank deposits.
Pay vendor bills and verify vendor purchase order confirmations.
Perform monthly reconciliations of bank accounts, credit cards, and loan accounts.
Reconcile long-term liabilities after year-end.
Maintain financial records for auditing purposes for a minimum of seven years.
Payroll & Employee Administration
Process and run payroll.
Track daily employee attendance and verify vacation balances monthly.
Print and distribute employee W-2 and 1099 forms annually.
Print hire date and salary information reports for management annually.
Assist with employee insurance and supplemental insurance enrollments.
Print employee review forms for shop managers annually.
Tax & Compliance
Prepare and file monthly and annual sales tax returns.
Update federal and state tax deposit schedules annually.
Maintain and update state unemployment insurance rates in accounting software.
Update Georgia Department of Labor unemployment rate annually.
File required business licenses.
File Biennial/MCS-150 reports as required.
File Secretary of State documentation every three years.
Maintain and update Drug Free Workplace certification annually.
Reporting & Management Support
Generate weekly, monthly, and year-to-date financial reports for management.
Print machine maintenance reports annually (CDS only).
Update inventory quantities and pricing annually.
Update hinge pricing annually (IAM only).
Administrative & Records Management
Maintain and organize financial and operational files.
File shop documentation monthly.
Prepare documentation for company audits (general liability, payroll, etc.).
Box and archive year-end paperwork and shred documents when appropriate.
Order company Christmas cards and customer holiday gifts.
Qualifications
Bachelor or Master’s degree in Accounting.
Experience with accounting software such as QuickBooks Online.
Strong knowledge of bookkeeping, payroll processing, and financial reconciliation.
Proficiency in Microsoft Office.
Excellent organizational skills and attention to detail.
Ability to manage multiple tasks, deadlines, and confidential information.

Work Environment
This role operates in an office environment and requires regular interaction with management, vendors, employees, CPAs, and external auditors. The position requires a high level of accuracy, confidentiality, and the ability to manage both financial and administrative responsibilities.
