This role is ideal for a proactive and detail-oriented individual who thrives in a collaborative environment and enjoys keeping operations running smoothly.
Position Summary:
The Administrative Assistant plays a key role in supporting the daily administrative functions of the office. You’ll be responsible for organizing documents, assisting with communication and scheduling, coordinating travel, maintaining office supplies, and helping ensure compliance with ISO standards. You will also support light marketing efforts and social media updates.
Key Responsibilities:
Administrative & Clerical Support
Provide day-to-day administrative support to management and staff.
Perform general office duties such as photocopying, scanning, faxing, filing, and data entry.
Maintain digital and physical filing systems.
Track vacation time, payments, and receipts.
Prepare shipping paperwork (e.g., bills of lading, courier documents).
Communication & Coordination
Answer and direct incoming calls and emails.
Assist with internal and external communications, notices, and document distribution.
Coordinate travel arrangements for staff.
Support invoice and document collection for financial processing.
Assist and Greet Customers
Office Operations & Compliance
Receive and date-stamp mail and invoices.
Process deliveries and confirm receipt in Redtail, ensuring ISO compliance.
Help maintain a clean and organized front office.
Monitor and reorder office and breakroom supplies in collaboration with procurement.
Social Media & Marketing Support
Manage and update Social Media pages.
Assist with basic marketing activities such as distributing promotional materials and posting updates.
Qualifications:
Previous administrative or office experience preferred.
Strong organizational and multitasking skills.
Excellent verbal and written communication skills.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Experience with social media management is an asset.
Familiarity with ISO standards is an asset but not required.
