Are you open-minded but have trouble justifying paying for equipment rentals?

Reframe it in your mind as bringing on a key team member or employee to take on a project.

Getting a month's access to a $200,000 piece of equipment costs about the same as the average monthly cost of a lead hand in construction. You see your lead hand or employee as a key part of keeping the project moving forward and maintaining performance.

Equipment rental, in the right application, is similar, with added benefits. The right piece of equipment costs about the same—or even less—once you factor in the CPP, EI, WCB, and benefits you're obligated to pay. The size on the quote isn't the question. The question is what the project needs.

A 20 ton booked for a job a 16 ton would have been better sized, for a lower rental. A compact reaching past its depth on a dig that needed a mid-size from the start. The wrong size costs you more than the rate. It costs you in hours, in float bills, in a crew standing around while the machine works in close to the bucket.

The published rate is the easy part. Matching the machine to the depth, the reach, and the access is where the budget moves.

The cheapest rate on the quote is rarely the cheapest rental.

We had a contractor call us last fall, near the end of his project, to tell us what a nightmare it had been. He'd gone with a lower rate somewhere else, the machine was trash, the support a joke, and the downtime cost him far more than he ever saved on the rate. By the time we spoke, the job was nearly done and the damage was done with it, because it was a multiple-piece fleet that couldn't be sourced on short notice.

It's not apples to apples when comparing rates and sizes of machines. Two quotes can carry different rates and stand for completely different machines, terms, and support behind them. A low rate can hide capped hours, padded delivery, an old high-hour shaky unit, or nobody picking up the phone when it breaks down.

Before you book the cheapest one, ask the year and hours on the machine, what's included, the all-in delivered cost, and what happens when it goes down. Compare the total cost of the rental, not the rate on the page.
